Association Manager

JOB DESCRIPTION A local nonprofit association that supports locally owned independent garden centers is seeking an organized, professional to manage all aspects of the association.

This is a part-time, contract job, working primarily from your home office with frequent Board Meetings, Committee Meetings, and educational events in the Denver Metro Area so reliable transportation is essential. This association is one of three partners/owners of the ProGreen EXPO, a business-to-business trade show that is held annually at the Colorado Convention Center in Denver. This aspect of the position requires frequent meetings, in-person as well as conference calls throughout the year. In addition, you will interface regularly with six other industry related associations who work collaboratively on water use and state legislative issues under the umbrella organization Green Industries of Colorado (GreenCO).

Compensation is $28,000 - $30,000, depending on experience for an average of 25-30 hours per week. Association related mileage expenses will be reimbursed at the I.R.S. rate.

Storage capacity to store association records & marketing materials is preferred.

Must be able to pass a background check.

JOB REQUIREMENTS
Minimum Qualifications:
• Three (3) years experience in general office responsibilities and procedures.
• Must be extremely computer literate.
• Knowledge of principles and practices of basic office management and nuances of managing associations to include working with a Board of Directors and Committees.
• Knowledge of the basic principles and practices of bookkeeping using QuickBooks.
• Experience coordinating events.
• Ability to work well alone and as part of a team.
• Familiarity with horticulture is highly desirable.

Association Manager (Garden Centers of Colorado) Detailed Description of Job Duties

OBJECTIVE
• Create an upscale association image • Maintain a well-balanced budget
• Provide expert advice and research • Communicate regularly with board of directors
• Carry out cost-saving procedures
• Provide complete financial reports
• Reduce delinquency percentage
• Communicate important information to members
• Implement Board decisions
• Computer Proficiency
• Be a good listener to all Association Members Member Relations
• Personal contact with Members' concerns via telephone, cell phone, email, fax, correspondence and/or in person
• Communication programs -- Newsletters
• Suggest expert advice when needed
• Arrange for Services
• Be organization
Advocate when arranging for services
• Obtain competitive bids for services at Board request
• Ensure you get the best price/performance
• Work with vendors providing service so they understand and implement your wishes • Provide oversight to ensure services are performed well

Association Record Keeping
• Retain the Corporate Minutes, Declarations, By-laws, and all other important records in a secure manner
• Keep membership correspondence Meetings • Prepare and generate Board packets for meetings, consisting of the following:  

o Agenda  o Minutes of previous meeting  
o Balance sheet  o Budget year to date, in easy to read format
o Copies of bank statements  
o Receipts and Disbursement reports  o Delinquent member report  
o Correspondence to and from members  o Reports from vendors  
o Committee reports  o Copies of bids and proposals  o Articles of interest  
o Any other pertinent information that requires board action

• Conduct and facilitate meetings
• Documented "To-Do" lists
• Informational and special meetings

Correspondence
• Respond to association letters received
• Prepare annual meeting notices and other notices as requested by the Board
• Keep an up to date member directory • Newsletters when requested

Legal
• Work carefully with legal counsel on legal issues

Insurance Company Liaison
• Suggest necessary coverage
• Obtain competitive bids for complete association coverage with several recognized national companies
• Work with Association's insurance carrier in case of a claim and follow up until settlement

Accounts Receivable
• Receive membership dues, post to accounts
• Delinquency follow-up • Notify and work with attorney to commence collection efforts if all other efforts fail

Accounts Payable
• Produce and Receive vendor invoices, verify and generate check run for payment, once a month or as needed. File in association's vendor files

Bank Account Management
• Prepare and deposit payments into Association account in a timely manner
• Reconcile bank statements each month
• Recommend best interest rates for restricted reserves to the Board of Directors
• Monitor due dates of C.D.'s

Budget Preparation
• Budget preparation
• Recommendation of the annual budget to the Board Financial Reporting
• Complete balance sheets generated monthly for operating and reserve accounts, including budget variances, income statement, check register, membership dues aging report and copies of all bank statements
• Collect W-9 information from vendors to generate and distribute 1099's at calendar year end

CPA Liaison
• Retain financial records for IRS and the State of Colorado.
• Prepare for formal financial compilations and tax returns by the accountant of the Association's choice
• Work with your chosen auditor during periodic audits
